Section A Institutional administrators

- Data collected
- Full name, institutional email address, institution name, job title, and password.
- Purposes

Required: Create and manage your Attendae account; send service-related communications; verify institutional legitimacy; process payments; provide technical support; comply with legal obligations.
Optional: Send product updates and educational communications about Attendae features.
- Transfers
- Banahosting (hosting, Mexico) and Stripe (payment processing, United States). No other transfers.
- Your rights
- You may exercise Access, Rectification, Cancellation, or Opposition (ARCO) rights at any time by emailing privacidad@attendae.com. See ARCO Rights for details.

Section B Event participants
Displayed at: event microsites (attendae.app/e/…), participant registration forms, and check-in pages
- Controller
- The organizing institution (identified on the event microsite). Attendae acts as a Data Processor on behalf of the institution.
- Data collected
- Full name, email address, and optionally: employee/student ID number and group/cohort. If geolocation check-in is enabled for the event: approximate GPS coordinates at the time of check-in (not stored persistently).
- Purposes
- Register your attendance at event sessions; verify compliance with attendance requirements; issue participation certificates; enable you to access your personal participation profile.
- Transfers
- Your data is stored by Attendae (Banahosting, Mexico) as processor on behalf of the organizing institution. Payment data (if any) is handled by Stripe (United States).
- Your rights
- Direct ARCO requests to the organizing institution in the first instance. You may also contact Attendae at privacidad@attendae.com for data processed in Attendae's own capacity. See ARCO Rights.

Section C When and where to display
Reference guide for institutions configuring Attendae for their events
- Account registration (Section A)
- Displayed automatically by Attendae at the registration form on attendae.com. No action required from institutions.
- Event participant registration (Section B)
- Displayed automatically by Attendae on event microsites and participant registration forms. The organizing institution is identified by name as the Data Controller.
- Physical check-in stations
- If the institution operates physical kiosks or screens for QR check-in (Mode C), the institution should display the Section B notice at that physical location — for example, printed near the scanning station or shown on a secondary screen.
- XLSX/CSV bulk upload
- When institutions import participant lists from spreadsheets, the participants listed must have been informed of the processing and given the opportunity to review the privacy notice before their data was collected. The institution, as Data Controller, is responsible for ensuring this has occurred.
- Certificates
- Generated certificates include a QR verification code and a folio number. The participant's name and folio appear on the certificate. No sensitive personal data beyond name and institution is included in the certificate itself.
